What must be confirmed before you order?

Begin a U.S. retail label order with the current requirements for the retailer, item category and packaging type. Identify the required inlay specification and approval record, then confirm the finished label, tagging location and encoded-sample validation. ARC inlay approval and ALEC supplier validation serve different purposes; a chip name alone establishes neither. Define the GTIN, per-item serialization and required EPC binary format before selecting memory capacity or encoding equipment. Approve the material, adhesive, print, roll format and a pilot on the actual items. The quotation should identify the approved configuration, quantities, delivery point and who handles import clearance and applicable charges.

Match the installed reader and printer

Use UHF readers and printer encoders configured for the U.S. deployment, with the exact antennas, firmware and software identified. Have the site integrator confirm permitted operating settings and applicable equipment documentation for the installed system. Validate reading on the actual items, packaging and case packs, including metal or liquid, tag orientation, placement and the reading zone. Keep passive-label selection separate from powered-reader installation requirements; a phone using only built-in NFC does not read a UHF label.

For a retailer program using Auburn’s ARC and ALEC processes, check both the inlay requirement and the finished-tag submission. A chip family, supplier logo or generic “retail-ready” label does not establish approval for your item.

Identify the current retailer category and required ARC Spec, then check the exact inlay article against the applicable approved list. Retain the article number and the evidence used for selection.

2. Finished-tag validation

Confirm the program’s sample and submission requirements for the finished tag, placement and encoding. An approved inlay does not replace the required validation of the label applied to your merchandise.

Six checks from specification to bulk approval

Use this checklist with your merchandise supplier, label supplier and systems integrator. Agree who approves each item before placing the bulk order.

    Identify the retailer, product category and current requirements document. Record the revision date and required approval evidence before selecting an inlay.

    Confirm the exact inlay article, chip, label dimensions, face stock, adhesive and placement on the actual product. Treat a material or inlay change as a reason to review the sample again.

    Agree GTIN ownership, serial allocation, EPC scheme and capacity, printed barcode mapping and encoded-label readback. Check duplicate and incorrect identities before shipment.

Frequently asked — United States retail buyers

How do we confirm a UHF label meets our U.S. retailer requirements?

Obtain the current written requirements for the specific retailer, item category and packaging type. Identify the applicable inlay specification and approved inlay reference, EPC format, placement, submission process and required approval records. Requirements may differ by retailer or category. A chip brand, generic UHF protocol or supplier statement is not proof that the proposed finished label has been approved.

Is ARC inlay approval the same as ALEC sample validation?

No. Auburn ARC matches tested inlays to performance and quality specifications defined for end-user deployments. Where the retailer uses ALEC, the supplier submission separately checks the approved inlay, tagging location, encoding and other end-user requirements. Use the current submission instructions for the actual product group and retain the validation result; an approved inlay alone does not replace that process.

Should EPCs be encoded at the factory or on our own printer?

Choose after agreeing the GTIN, unique per-item serial-number allocation, required GS1 EPC binary format and available EPC memory. Keep the factory TID separate from the retail item identifier. For either workflow, approve the mapping to printed data, printer or encoder setup, read-back verification, duplicate prevention and handling of failed labels. Use controlled serial ranges if both factory and in-house encoding will be used.

What U.S. reader and installation details should be tested?

Confirm the U.S.-market reader or printer encoder, its region settings, antenna configuration, power settings, firmware and application software with the equipment provider or site integrator. Check the applicable equipment documentation separately from passive-label specifications. Test the final tag on the actual product and packaging in the intended reading zone, including case packs, orientation and nearby metal or liquid. A successful bench read does not establish installed performance.

What are the MOQ, delivery terms and U.S. import responsibilities?

The standard tags-and-labels baseline is 1,000 pieces; confirm the selected inlay, label construction, encoding and quantity per design in the quote. Agree sample and setup charges, unit price, production readiness, freight and the named delivery point. Identify the importer of record and responsibility for clearance, duties, taxes and documents. Have the importer or customs broker confirm classification and applicable charges for the actual article and origin; this page does not assign a tariff code or guarantee duty-free entry.
